How to Submit a Sheet Metal Fabrication RFQ: China Sourcing Checklist

how to submit a sheet metal fabrication rfq china sourcing checklist

Contenido

A sheet metal quote from an overseas supplier can take several days to arrive, even for a simple bracket with a few holes and bends. A one-word finish note or an unstated annual volume sends questions back to the buyer, and the time difference can add a day to each answer.

A sheet metal fabrication RFQ is the request for quotation package of drawings, 3D models, and written requirements that a fabricator prices the finished part against. When that package is complete on the first send, quotes arrive sooner and can be compared line by line.

The checklist below shows how to submit an RFQ for sheet metal fabrication with every field a China supplier needs so that quotes come back quicker, without follow-up questions.

Why Does a Complete Sheet Metal Quote Request Get Faster Pricing?

A fabricator prices only what the package states. An estimator who finds a gap often prices an assumption to keep the quote moving, and the quote may not list it.

Grade, thickness, and finish set most of the material and process cost on a typical sheet metal part, so their wording carries the most pricing weight.

Comparable quotes come from one revision-controlled package sent to every supplier. Asking each supplier to list assumptions and exclusions on the quote traces any price gap to a difference in scope.

What Goes Into a Sheet Metal Fabrication RFQ?

A sheet metal RFQ checklist covers three groups: the part definition, the process requirements, and the commercial terms. Each row in the table below states what the field needs and an example entry a fabricator can price from.

RFQ Field What to State Example Entry
Drawing and 3D model PDF drawing and STEP model at the same revision BRK-104 Rev C, PDF and STEP
Material grade Alloy and temper, plus any accepted equivalent Aluminum 5052-H32 or equivalent
Espesor de chapa Nominal thickness in millimeters 1.5 mm
Tolerancias General tolerance class plus critical callouts ISO 2768-m, hole pattern per drawing
Acabado superficial Process, color code, gloss, and masked areas Black matte powder coat, color code per drawing, nut threads masked
Hardware Insert type, thread size, and part number M4 self-clinching nuts, six per part, part number on BOM
Soldadura y montaje Weld type, location, and assembly level TIG fillet welds per drawing, shipped assembled
Cantidad Prototype, first order, and annual volume 10 prototypes, 500 first order, 6,000 per year
Entrega Target date, shipping term, and destination FOB Shenzhen, ships 12 weeks after PO, Chicago destination
Inspection and documents Checks and records required with shipment First article report, material certificates
Embalaje Protection and labeling Bagged individually, part number labels
Confidencialidad NDA status before full files go out Mutual NDA signed

Material grade and sheet thickness

Thickness is clearest in millimeters, because one gauge numberĀ maps to a different thickness in steel, aluminum, and stainless steel. Suppliers in China mostly stock metric sheet, so a millimeter value checks directly against stocked thicknesses.

The grade field names both alloy and temper and states whether a local equivalent grade is acceptable. Mills and stockists in China carry local equivalents for many grades, and an approved substitute often shortens lead time.

Which File Formats Should a Sheet Metal RFQ Include?

The PDF drawing and the 3D model do different jobs in a quote package. The drawing carries the requirements, while the model carries the geometry the fabricator unfolds into a flat pattern.

Formato What It Carries Role in the RFQ
PDF drawing Dimensions, tolerances, notes, and revision Controlling document for price and inspection
PASO 3D solid geometry Flat pattern, bend sequence, and nesting
DXF 2D flat pattern or profile Cutting profile for flat parts; reference for formed parts
DWG Native AutoCAD drawing Accepted alongside a PDF
Native CAD Full feature history Optional; helps with later revisions

The drawing should state its units and note that it takes priority over the 3D model if the two disagree, so the fabricator knows which file to follow. A DXF flat pattern carries the buyer’s bend deduction, so the fabricator unfolds the STEP fileĀ using bend values for its own tooling.

How Should Tolerances Be Called Out on a Sheet Metal RFQ?

Tolerances set the inspection effort and, in some cases, the process route. A general tolerance note covers most features, and individual callouts are kept for the features that control fit or function.

General tolerances under ISO 2768

The general note names a tolerance class from ISO 2768-1, such as ISO 2768-m, for every linear and angular dimension without its own tolerance. The medium class is a common default for formed parts. Achievable bands vary by process, as the guide to sheet metal tolerancesĀ shows.

A finer class tightens every untoleranced feature at once, which adds inspection time and can add process steps. Tighter limits on only the features that need them keep the quote closer to real requirements.

GD&T for critical features

GD&T callouts suit mating holes, mounting faces, and slots that locate other parts. Holes on the same flat face as their datum hold laser-cut accuracy if they sit clear of bend lines, while each bend between features adds variation.

How Should Surface Finish and Hardware Be Specified?

Finish and hardware are often written as a single short line on the drawing, but each needs enough detail for the supplier to price the exact process and parts.

Acabado superficial

A priceable finish callout names the process, color code, gloss level, and any coating thickness range. It also marks cosmetic faces and masked areas, such as threads, grounding points, and press-fit holes.

A drawing for a part that ships uncoated should carry a no-finish note, so the quote leaves coating out. The finish choice follows the base material and the service environment.

Hardware and assembly

A hardware callout lists each insert by type, thread size, length if it applies, and manufacturer part number, and notes whether equivalents are accepted.

Welds need a type, size, and location, plus a note on whether visible welds are ground flush. The RFQ states whether parts ship assembled or as loose components.

Which Commercial and Quality Details Complete the RFQ?

Commercial and quality fields can move the unit price as much as the geometry does. Setup cost is shared across every part in the order, so larger quantities lower the unit price. Inspection requirements add documentation time to each lot.

Quantity and annual volume

The quantity field gives a prototype quantity, a first-order quantity, and an annual forecast. Asking for prices at two or three quantities, such as 100, 500, and 1,000 pieces, shows the volume at which unit price drops. The guide to sheet metal fabrication cost driversĀ explains why.

Delivery and packaging

Under FOB terms, the target date is the loading date at the named port, and transit to the destination comes on top. Packaging notes cover protection and labeling, such as rust-inhibiting bags for bare steel on a sea shipment.

Inspection and documentation

The RFQ names only the records the buyer needs, such as a first article report, dimensional report, material certificates, or coating thickness report. The field also states whether sample approval is required before production.

NDA and drawing protection

Drawing protection starts before the full package goes out. For China suppliers, an NNN agreement goes further than a standard NDA. It covers non-disclosure, non-use, and non-circumvention, and usually carries more weight when written in Chinese and enforceable in Chinese courts, which supports trade secret protection.

Until the agreement is signed, a simplified drawing with key dimensions is enough for a budgetary quote. Once full drawings go out, a confidential mark in the title block stays on every printed or forwarded copy.

What Happens After a Sheet Metal RFQ is Submitted?

Submission starts a short review loop rather than an instant price. The fabricator checks manufacturability, raises any questions, and then issues a quote with its assumptions stated.

  1. Receipt and NDA confirmation
  2. DFM review of drawing and model
  3. Clarification questions, if any
  4. Quote with stated assumptions
  5. Sample or first article approval
  6. Production release

A sheet metal DFM review checks bend radii, hole-to-bend distances, and hardware clearances against the fabricator’s tooling. Inserts close to a bend can clash with the press brake tooling, so the review flags them.

Yijin Solution fabricates custom sheet metal parts from customer drawings and 3D CAD files. A revisión DFM gratuita on sheet metal RFQs is provided before pricing, with any suggested design changes returned alongside the quote. After order approval, prototypes typically take 3 to 7 days and production 2 to 4 weeks, depending on complexity.

Buyers with a drawing package ready can send it for an engineering review and quote.

How to Submit a Sheet Metal Fabrication RFQ FAQs

What is the difference between an RFQ and an RFP?

An RFQ asks suppliers to price a defined part, while an RFP asks them to propose an approach to an open requirement. An RFQ fits once the drawing, material, and quantity are fixed.

How many suppliers should receive a sheet metal RFQ?

A sheet metal RFQ typically goes to three to five qualified suppliers. Fewer suppliers limit price comparison, while more add evaluation work for little pricing gain.

Should a sheet metal quote request include a target price?

A target price is optional in a sheet metal quote and helps most when tied to a stated quantity and finish. Suppliers can then suggest material or design changes that move the part toward that price.

Can quantities change after a sheet metal quote is issued?

Quantities can change after a sheet metal quote is issued, and the supplier usually reprices the order. For example, large increases can shift the route from laser cutting toward turret punching, mainly for parts with many repeated holes.
